AI Can Make the Wrong Process Faster

TL;DR

AI makes the wrong process faster when a company points it at an outdated design instead of first working out which process it should touch.

  • Ready-made AI skills rarely fit well
  • Org charts follow Henry Ford's model
  • Shared systems fix handoffs, AI or not

AI should not be this hard to use well. New tools appear every week, and most advice keeps warning people not to fall behind, without ever explaining what to do once they have caught up. One idea does hold up. A tool only helps once someone has worked out which process it is meant to touch.

That shows up first in the AI skills and prompt libraries posted online, which are ready-made instructions for AI tools. Each was built by one person for their own way of working, then packaged for anyone to install. Installing one rarely gives the fit its creator got, because it was shaped around a different process. A better fit tends to come from people describing their own steps, in order, and asking AI to turn that description into a skill.

Whole companies run into the same problem. A typical org chart puts one executive at the top, with sales, marketing and finance in departments underneath. The structure was built for standardized, efficient production, a model the factories of Henry Ford made famous about a century ago. They broke work into simple, standardized tasks and synchronized them down the line, so output stayed predictable. Large parts of the corporate world still run on that design, with departments handing work to each other in a fixed order. A company that points AI at that design runs it faster and still solves the wrong problem.

The mismatch is easiest to see in a process that runs through email and face-to-face handoffs across several departments. Sometimes a job takes a hundred messages to get done. Each handoff adds a wait, and each department sees only its own piece of the job. The same work could run on a shared system where everyone involved sees the same information at the same time. That fix works with or without AI attached.

Companies often hold up their AI use as proof of how innovative they are, in pitches and on product pages. That mention carries little weight with a customer stuck in a slow, confusing process. A process that still takes a hundred emails to finish does not become a good process because AI touched one step in the middle.
