What Separates the Best AI Users From Everyone Else

TL;DR

The best AI users follow four habits, giving the AI context about their business, connecting it to their tools, scheduling repeated tasks and testing its limits.

  • Context helps more than a newer model
  • Each habit builds on the one before
  • Most people get generic answers from AI

Ask any AI system a single question and walk away, and it still behaves the way the chatbot ChatGPT did in 2024, capable but generic. It holds no memory of the business behind the question and no sense of which tools are in place or what success should look like. Most people still use AI this way. A separate group gets personalized answers because those users hand the AI much more to work with. They do it through four habits, each building on the one before.

Context, the background an AI needs about a business, comes first, and the best AI users bring a lot of it. They talk through their business out loud, often using the AI’s voice feature. They cover their tools and systems, how new customers find them and their goals for the coming months. One conversation like this changes the answers more than switching to a newer AI model or hunting for a cleverly worded request would. Once the AI holds that picture, its answers fit the business asking the question.

That picture only goes so far while the AI cannot reach the tools running the business, so the second habit is connecting them. Once it can see inside a calendar, an inbox, a customer database or a project tracker, it works from the real thing. A connected tool also makes automation possible, because an AI wired into a tool can act inside it instead of only describing what to do next.

Access makes the third habit, scheduling, possible. The best users hand off the tasks they repeat every day or every week, so the work runs in the background instead of sitting on a mental checklist. Scheduling work without first supplying context or connecting the right tools hands the AI a task it was never equipped to understand.

The last habit is testing the AI’s limits. The best users regularly try it on tasks it seems unable to handle. When the first attempt falls short, they refine the request or ask the AI to research the problem itself and come back with a way to complete it. Each test either widens what the AI is trusted to do next time or rules out a task that still needs a person.
